CONDO

Access and Registration
    • a. Sign in to your condonuity account.
    • b. Click on the top right hand corner menu (User Account Settings).
    • c. Click on “Change Password” button.
    • d. Enter a new password (Must contain a minimum of 8 characters that contains one capital letter, one small letter, one number and one special character).
    • e. Confirm your new password and press update.

    • Alternatively, if you are unable to login, and have forgotten your password and need to reset it:
    • a. Go to condonnuity.ca.
    • b. Click on Login/Register.
    • c. Once navigated, click forgot your password link.
    • d. Enter you email id.
    • e. An email from condonuity will be sent to your email address.
    • f. Open the email and click on the link.
    • g. Enter a new password.
    • h. Confirm your new password and press update.

  • If your registration was interrupted or if you have closed the browser by mistake while registering, you have two options to complete your registration:

    • a. Go back to your inbox and open the original registration email that was sent to you by Condonuity. Click on the link and the registration page will open up and you can continue your registration (the registration email will expire after 7 days).
    • b. Or If you have already setup a password, go to Condonuity.ca and enter your email address and password to log on, an alert message will pop up, and you will be prompted to continue your registration.

  • Yes, we allow users to be linked to more than one condominium corporation if needed. Users can switch between different condominium profiles by:

    • a. Click on profile photo (user account) on the top right hand corner.
    • b. Selecting the condo corporation profile.

    Users can choose a default condo corporation profile for their account by:

    • a. Clicking on the profile photo (user account) at the top right-hand corner of the page.
    • b. Clicking on the user account setting.
    • c. Selecting the corporation account that they would like to make as the default.

  • After submitting your registration request, a member of our registration team will contact you to verify your submitted data and activate your profile. Upon activation, you will receive an email notification from Condonuity. Once your profile has been fully activated, you will be able to login to the site.

Profile & User management
    • a. Click on your name (user account) on the top right-hand corner of the page.
    • b. Click on user account settings.
    • c. Click on “Edit” and upload your photo.

    • a. Click on "Account" on the left side banner menu.
    • b. Click on "+Add User" and a pop-up will be displayed.
    • c. Add the email address and the role of the user, then click on the "send request" tab.
    • d. You may assign an admin role to the newly added user by checking the "Administrator" box.

    • a. Click on "Account" on the left side banner menu.
    • b. Click on the edit icon of the relevant user and an edit user pop-up will be displayed on your screen.
    • c. Make the required change: update the role of the user and/or check the “Administrator” box and click on “Update”.
    • d. Note that only an existing user admin can perform the above steps.

  • The Admin is the only user who can:

    • a. Add /remove users.
    • b. Edit user roles.
    • b. Edit the profile of the corporation.

  • Each condominium profile can have up to 12 users.

  • The condominium profile includes information related to your condo corporation. It is accessible by all the users of the platform. Condo profiles are utilized to post requests for quotations and award projects. A condo profile includes:

    • ● Condo corporation name.
    • ● Condo corporation registration number.
    • ● Photo or logo.
    • ● Condo corporation address.
    • ● Date of registration.
    • ● Number of units and voting units.
    • ● Management company details.
    • ● Amenities information.

    The user profile includes information related to the user of the account. A user profile includes:

    • ● Full name of the user.
    • ● User’s email and phone number.
    • ● User's picture.
    • ● User's role (Condo board, manager etc.).
    • ● The condominium profiles that are linked to the user.

    As a user, you are able to take actions related to your condo corporations such as:

    • ● Creating a project.
    • ● Posting a project.
    • ● Responding to bidder’s question.
    • ● Awarding projects.
    • ● Adding new users (Admin only).
    • ● Editing new user role (Admin only).
    • ● Editing the condominium profile (Admin only).
    • ● Using management tools.
    • ● Using the internal and external messaging system.
    • ● Posting reviews to any contractor.

Project Posting & Awarding
    • a. Click on "My Projects" on the left side banner menu.
    • b. Select “Create project” tab.
    • c. Fill in the project name and select the tags that best describe the scope of the project (mandatory).
    • d. Fill in the project details and upload any available supporting documents (such as a detailed description, photos, quantity list, specs, etc..).
    • e. You may select between three types of contracts: Fixed cost, time and material, or annual contract (mandatory).
    • f. Indicate if the posted project is for “preferred contractors” only by checking the relevant box.

  • Make sure that you have filled in all the mandatory fields:

    • ● Project name.
    • ● Tags.
    • ● Bid end date.
    • ● Project start date.
    • ● Project deadline.
    • ● Contract type.
    • ● Description.
    • ● Insurance confirmation.

  • A published project indicates that the project is now displayed on the marketplace page. Potential bidders can access all the information related to a published project and submit bids. To publish a project, the project creator needs to complete all the project details and click on the publish tab.

    An unpublished project entails that the project creator has completed all or part of the details related to the project and pressed the save tab. This means that the project has not yet been published in the Marketplace and, therefore, is not viewable by potential bidders. Users may decide to keep a project unpublished in case they are still unsure about all the details or if they require other users to view and agree on the project posting before it gets published.

  • Preferred Contractors could be useful in case the condo corporation prefers to obtain quotes from specific vendors instead of having the project open for bidding to all contractors. You can select to publish for preferred contractors only when you are creating a project by checking the box at the end of the "Create Project" page. A project that is published to preferred contractors means that no contractors, other than those included in the preferred contractor list, will be able to view, access, and bid on the project.

    Each condo corporation gets to select their own preferred vendors. Once a contractor is marked as “Preferred” they are added to a special list in the system. To mark a Contractor as “Preferred”:

    • a. Go to “browse Vendors”.
    • b. Mark the vendor as “Preferred” by clicking the flag on the right-hand side.

    Alternatively, Condo users can mark a contractor as “preferred” by navigating to the contractor profile page and clicking on the Heart icon.

    Condominiums may elect to add to their preferred list contractors with whom they’ve dealt with previously and frequently, and have had previous good experience with. Preferred vendors are specific to each condo profile.

  • Bid Closing Date (Bid End Date) is the last date on which the Condo Corporation will accept a bid. Bidders will not be able to submit any quote on the platform on or beyond this date. You must set a specific closing date for each project posting by filling in the “Bid End Date” when creating the project post.

  • No one can view the bids' content before the closing date (bid end date). On the closing date, the bids are revealed automatically on the “Bid Results” page. Any user from the corporation can navigate to that page to view the bids on or beyond the closing date.

  • Project awarding is an excellent way to preserve the award decision and any related information. It is saved on the site for any user to view at any future date. To award a project:

    • a. Click on “My projects” on the left banner menu.
    • b. Go to the “Projects History” Tab.
    • c. Find the project to which you would like to award and open it.
    • d. Go to “Bidding Results” tab.
    • e. Open the desired bid and click on "Award to Contractor”.
    • f. Fill in the required information and click submit. You may attach any supporting documents if desired.

  • Once a project is awarded, you may only edit the comments section and/or the uploaded supporting documentation by:

    • a. Clicking on “My projects” on the left banner menu.
    • b. Going to the “Projects History” Tab.
    • c. Finding the project to which you’d like to award and open it.
    • d. Going to “Award Decision” tab.
    • e. Clicking on “Edit” at the bottom right-hand corner.

  • After you award the project, a notification email will be sent to the successful bidder notifying them that they have been awarded the project. You can then start communicating directly with the awarded contractor to complete the official contracting formalities. Non-successful bidders will also be notified that their bids were not considered for the awarded project.

    • ● Unpublished: means that the project is saved but not visible to the Marketplace yet. No one can submit any bids to it yet. The project can be located under the “Current Projects” tab.
    • ● Published: means that the project is available at the Marketplace and open for bidding. The project can be located under the “Current Projects” tab.
    • ● Bidding Closed: means that the project Closing date has been reached, but it has not been awarded yet. The project can be located under the “Projects History” tab.
    • ● Awarded: means that the project has been awarded to a contractor. The project can be located under the “Projects History” tab.
    • ● Cancelled: means that your corporation has cancelled the project. The project can be located under the “Projects History” tab.

Management Tools
  • Management tools are features specially designed to help condo boards and management coordinate work for some key aspects of their daily operations. The beauty of these tools is that they can be accessed from anywhere, and updates are viewable by all users in real-time.

    Management tools include:

    • ● Task lists.
    • ● A repository for Annual contracts (with auto reminders 60 & 30 days before expiry).
    • ● A repository for all the units in the building.

  • Tasklist is a management tool that helps Condo boards and management personnel record and track the progress of a task or an activity. The task list shows:

    • ● The description of the task
    • ● The priority of the task
    • ● The assigned person/persons for the task
    • ● The status of the task
    • ● The name of the person who created the task
    • ● The date the task was created

  • Building a repository is a function that allows users to create a comprehensive database for their units and occupants. The building repository can record the following data of each condominium:

    • ● Unit number.
    • ● Unit type (Residential/commercial/common element/parking/locker).
    • ● Person type (owner/occupant/tenant/other).
    • ● If a Lien is present.
    • ● Status (owner occupied/leased/vacant/other).
    • ● Occupant contact details.
    • ● Emergency contact person details.
    • ● Vehicles details.
    • ● Pets details.
    • ● Notes.

  • The annual contract is a function that allows you to create a list of all the yearly contracts with service providers. It also alerts you when an annual contract is set to expire so you will be prepared in advance of the expiry date (an automatic notification will be sent to users 30 and 60 days before expiry). Each item in the annual contract page can record the following details:

    • ● Contractor name.
    • ● The service (the contract scope).
    • ● The term of the contract (duration).
    • ● The signed date of the contract.
    • ● The expiry date of the contract.
    • ● The renewal term (auto-renewed or manually renewed).
    • ● The cost of the contract.
    • ● The cancellation term.
    • ● Expected yearly increase.
    • ● Notes.

  • All users in the corporation can view and edit any page in the management tools.

Message Boards
  • The internal message board is a communication tool that allows condo corporation users to create a theme-specific thread and exchange messages among themselves. The internal messages are visible by all users who are on-boarded on the condominium profile.

  • The external message board is a communication tool that allows condo corporation users to exchange messages with users of other condo corporations. The external message board helps condo corporations create a sense of community by providing a platform for sharing experiences, exchanging ideas, or organizing events. Any message thread on the external message board is visible by all users who are on-boarded on the condominium profile.

    The external message board can also be used to contact contractors via the system.

My Reviews
    • a. Click on "browse vendors" tab on the left side banner menu.
    • b. Open the vendor profile by clicking on the vendor that you would like to review.
    • c. Click on "Review and Rating" section.
    • d. Click on "add your review", and a pop-up review will be displayed on your screen.
    • e. Fill in the add review pop-up and click on the "Post Review" tab.

  • Yes, you are allowed to go back to a previous review to edit it, you cannot delete your review.

  • Depending on the number of STARS given to each category, the contractor rating is calculated by a simple weighted average calculation. the weights of each category are as per the following:

    • ● Professionalism: 30% weight.
    • ● Accuracy: 30% weight.
    • ● Responsiveness: 10% weight.
    • ● Quality 30% weight.

  • The name of the user who provided the review and the corporation name that he/she belongs to will appear on the review.

CONTRACTOR

Access & Registration

Profile & User management
    • a. Click on "Account" on the left side banner menu.
    • b. Click on “Edit” next to your name.

  • Only the Admin will be able to add, remove, or edit users:

    • a. Click on "Account" on the left side banner menu.
    • b. Click on "+Add User" and a pop-up will be displayed.
    • c. Add the email address and the role of the user, then click on the "send request" tab.

    • b. Look for the user that you would like to edit in the User Management Box.

  • The corporation profile includes information related to your business. It is accessible by all the users onboarded on the platform. Profiles are used to showcase your business and post bids on available projects. Your corporation profile includes:

    • ● Corporation name.
    • ● Company Info.
    • ● Company logo.
    • ● A detailed description of your business.
    • ● Contact information and address.
    • ● Portfolios showcasing previous work.
    • ● Reviews and ratings posted by users.
    • ● Insurance, services, brands, products, licenses, and memberships.

    The user account includes personal information related to the user. A user's account includes:

    • ● Full name of the user.
    • ● User's email and phone number.
    • ● User's picture.

    As a user, you are able to take actions related to your corporations, such as:

    • ● Creating a bid to a project.
    • ● Posting a question on a project.
    • ● Adding new users (Admin only).
    • ● Editing a new user role (Admin only).
    • ● Editing the corporation's profile (Admin only).
    • ● Using the internal and external messaging system.
    • ● Replying to reviews posted on your profile.

Project Bidding & Marketplace
    • a. Go to marketplace on the left hand banner menu.
    • b. Click on the project that you would like to bid for.
    • c. Click on the “Start Your Bid” button on the right. Or navigate down to the “Bid Submission Info” section.
    • d. Fill in the template and / or attach any relevant bidding document such as files or pictures.
    • e. Click submit.

  • Make sure that you have filled in all the mandatory fields:

    • ● Start date.
    • ● Duration.
    • ● Add at least one item or labor details.
    • ● In scope.

  • Preferred Contractors refer to contractors that a condominium prefers to deal with more frequently because of previous good experience or other factors such as good reviews or reputation. Preferred vendors are specific to each condo profile, which means that each condo corporation gets to select their own preferred contractors.

  • Yes, you will be able to withdraw your bid as long as the bid closing date (bid end date) is not reached yet. To withdraw your bid, navigate to the project in question either from the Marketplace or from My Projects (Open Projects), and click on the “Withdraw Bid” button.

  • Each project has a specific bid close date (bid end date) that can be viewed in the project listing or project sheet. Contractors have until the bid close date (bid end date) to submit their bids, once the bid closing date is reached, the project is locked, and no bids can be submitted any more.

  • On the “closing date”, all bids are revealed automatically to the condo users. Condo corporations may use the bidding comparison template to select the winning bid.

  • You will receive an email notification informing you that the project has been awarded by you, or you will be contacted by the condo corporation directly.

  • After receiving the award notification, you can start communicating directly with the condo corporation to complete the official contracting formalities.

  • Yes, you can ask questions related to a specific project by:

    • a. Navigate to the project that you would like to bid for.
    • b. Scroll down and locate the Q & A forum.
    • c. Add your question and click submit.
    • d. The condo corporation will receive your question and will respond to your queries.

    It is important to know that:

    • ● Your question will not appear on the project posting until the condo user have pasted a response.
    • ● All questions and answers will be visible by all interested bidders.
    • ● All questions that will be asked in the Q & A forum will be featured as "anonymous".

  • During the bidding phase, all contacts with the condo corporation and condo management shall be conducted through the platform. After the award, you may contact the condo corporation and the condo management to complete the contracting formalities.

    • ● Bid Not Submitted: means that this project is saved under My Projects" but your bid has not been submitted yet. This project will be located at the Projects of Interest" tab.
    • ● Bid Submitted: means that your bid is submitted and the project closing date (Bid End Date) have not been reached yet. This project will be located at the Open Projects’ tab.
    • ● Closed – Not Submitted: means that the project Closing date (Bid End Date) has been reached without you submitting any bids. This project will be located at the Closed Projects" tab.
    • ● Closed –Submitted: means that the project Closing date (Bid End Date) has been reached and you've already submitted your bid. Also, this project has not been awarded yet. This project will be located at the Closed Projects" tab.
    • ● Closed - Won: means that the project has been awarded to you. This project will be located at the Closed Projects" tab.
    • ● Closed - Lost: means that the project has been awarded to another contractor. This project will be located at the Closed Projects" tab.
    • ● Cancelled: means that your corporation has cancelled this project. This project will be located at the Closed Projects" tab.

Reviews and Rating
  • you can respond to reviews by following these steps:

    • a. Click on your profile page.
    • b. Scroll down to reviews and rating section.
    • c. Locate the review that you wish to reply to.
    • d. Click on reply to review" and add your feedback.

  • Depending on the number of STARS given to each category, the contractor rating is calculated by a simple weighted average calculation. the weights of each category are as per the following:
